We are seeking a highly organised and professional Team Assistant & Receptionist on behalf of our client, a leading boutique investment firm based in the heart of Mayfair. This is a fantastic opportunity for a proactive and detail-oriented Team Assistant to take on a key role supporting senior management and ensuring the smooth running of a busy office.

As the Team Assistant & Receptionist, you will be responsible for managing reception duties, handling office administration, and supporting teams with scheduling, travel arrangements, and general operational tasks. You will play a crucial role in maintaining a welcoming and professional office environment, ensuring that everything runs smoothly.

Key Team Assistant & Receptionist Responsibilities:

  • Administrative Support: Provide diary management, scheduling, and travel coordination support to teams and senior management.
  • Meeting & Event Coordination: Manage meeting room bookings, ensuring spaces are prepared and well-maintained. Assist with internal event planning and coordination.
  • Office Management: Maintain office supplies, manage mail and deliveries, and ensure the office environment is well-organised.
  • Reception & Front Desk Management: Greet visitors and clients in a professional and welcoming manner, acting as the first point of contact for the business.
  • Communication & Correspondence: Answer and direct phone calls, emails, and general enquiries efficiently and professionally.
  • HR & Management Assistance: Support HR and management with various administrative tasks and ad-hoc projects.

Key Team Assistant & Receptionist Requirements:

  • Previous experience in a receptionist, administrative, or customer service role is highly desirable.
  • Strong verbal and written communication skills, with a professional and approachable manner.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and other relevant administrative tools.
  • Exceptional organisational skills, with the ability to multitask and prioritise effectively.
  • A proactive and solutions-focused mindset, with the ability to work independently.
  • The ability to handle confidential information with professionalism and discretion.
  • Fluent Spanish speakers desirable!

This role is 5 days office-based in Mayfair, core hours are 9am-6pm.
